The Birdseye Siteworks team is seeking an Office Operations Manager to aid this department’s development and success. The Office Operations Manager is responsible for assisting with project development, documentation and tracking as well as maintaining the necessary state and federal documentation needed for the operation of our fleet of machinery. Team Support Responsibilities include (but are not limited to):
· Adjusting and exporting time entries from time keeping software and sharing with Accounting team
· Creating estimate presentations
· Sending, tracking and uploading and communication about client contracts
· Scanning/uploading material slips
· Creating purchase orders to enable Accounting to pay Siteworks vendors/subcontractors
· Coordinating the activities and renewals necessary for Equipment Operators to meet ongoing CDL requirements
· Maintaining Siteworks Department vehicle and equipment registration and insurance renewals
· Updating and maintaining the timekeeping app
· Maintaining and communicating out the Siteworks crew schedule
· Random support task as needed
Project Responsibilities include (but are not limited to):
· Identifying and coordinating information needed for project contracts as well as key, atypical contract requirements and communicating the relevant information to the Accounting team
· Coordinating with the Siteworks team to track project opportunity costs by setting up new projects in the ERP system
· Entering project start-up documentation in Accounting and Project Tracking software
· Updating the Project Tracking and Accounting software with project start-up information and status updates to reflect accurate and up-to-date information
· Communicating project bid timelines to the Siteworks team and collaborating on bid submittals
· Permit submissions and meeting coordination as needed
· Can aid with project invoicing by comparing project budget with actual time and materials to-date costs and collaborating with Accounting as needed
· Maintains project pipeline to capture current and future project timelines for forecasting and scheduling
· Assists with creating project estimates, as needed
· Allocating employee/operator time and materials to appropriate job costing categories
Future responsibilities may include:
· Supporting the Siteworks Shop Manager with fleet tracking logs, parts ordering, etc.
· Supporting the Masonry team with material ordering, scheduling, estimate presentations
Additional expectations include:
· Reliable schedule
· The ability to work 40 hours per week, Monday – Friday
· Work is performed in the office located in Ferrisburgh
